Welcome to the Royal Air Force Officer Training Academy (RAFOTA). This is a great opportunity to work as part of inclusive organisation working hard to support Officer Cadets graduating from Phase 1 training into the Royal Air Force. As the holder of the position of Squadron Administration Officer you are responsible to the Squadron Commander (Sqn Cdr) for the general administration in support of the Modular Initial Officer Training Course (MIOTC) on A Squadron (A Sqn) and the cover support in the absence of other Squadron administrative officers.
This position is advertised at 37 hours per week.
This role is the primary point of contact providing full administration duties for A Sqn officer training, in support of both staff and cadets (>150 people).
Your responsibilities specifically include communication and coordination with a wide range of staff across RAFOTA and Station HR for all aspects of daily administration for staff and cadets within your squadron. Supporting the Sqn Cdr with personnel management reporting, forwarding documentation when cadets leave training, editing and distribution of training administration orders for adventurous training and IBCC visit, nominal roles for MIOTC and liaising with other station departments (including ESS, graphics and photography).
Key tasks and responsibilities include assisting the Deputy Squadron Commander (DSC) on administrative issues throughout the course. Represent the squadron and civil service team at all meetings and when attending force development or professional development courses.
Use software platforms Joint Personnel Administration (JPA), Aquila Learning and Risk Management System (ALaRMS) and Training Administration Financial Management Information System (TAFMIS) for cadets arrivals/movements and adding them to the appropriate MIOT course carrying out detail checks.
Be responsible for creation and dissemination of cadet photo boards, distribution of information lists to relevant areas and ensuring relevant documentation for Sqns is accurate and correct. Review, update and distribute written administration orders for a variety of events and activities to cadets, staff and wider stakeholders across Air Command. Download and distribute End of Course Reports (EOCR) and graduation results to all stakeholders. Prepare, complete, and distribute all relevant graduation paperwork including scrolls, graduation certificates, prize winner information and letters, dietary requirements, photos and templates, and staff and cadet lists.
The job holder will be responsible to the Squadron Commander. They will assist on all squadron administrative tasks throughout the course. This role is suited to a flexible, motivated individual with excellent interpersonal skills, as the role has a strong customer focus. It is essential to have a good working knowledge of Microsoft Office Apps (incl Word, Excel, Outlook, Teams) and the ability to prioritise assigned tasks and work to fixed deadlines maintaining a high level of attention to detail.
The post requires an individual who can work independently but also enjoys being part of a team. Flexible working is available (after a 6 month probation period) subject to LM agreement and business needs being met. The individual must understand and comply with current policies and guidelines, within their area of responsibility, and be able to advise and communicate effectively with personnel.

Where business needs allow, some roles may be suitable for a combination of office and home-based working. This is a non-contractual arrangement where all office-based employees will be expected to spend a minimum of 60% of their working time in office, subject to capacity and any required workplace adjustments. Requirements to attend other locations for official business, or work in another MOD office, will also count towards this level of attendance. The post does not offer relocation expenses.
External recruits who join the MOD who are new to the Civil Service will be subject to a six-month probation period.
