STAFF ASSOCIATIONINTERNAL/ EXTERNAL JOB POSTINGJOB TITLE:Social Work Programs Assistant – Job Reference #20241208DESCRIPTION:The Social Work Programs Assistant provides general reception for the School of Social Work office in-person and provides administrative support to the Coordinator of Academics and Development.This position will be responsible for the following:· Answer Social Work’s main telephone line and emails and then respond to queries appropriately and in a timely manner.· Facilitate workflow by anticipating and preparing for upcoming tasks and events.· Facilitate admissions processes, including anticipating and preparing for upcoming tasks and events related to admissions.· Orient and instruct new faculty on the use of university course management system, referring to outside support as appropriate.· Administrative and organizational support to the Director, Faculty, Coordinator of Academics and Development and the Social Work Student Association in regards to events.· Administrative support (minutes, agenda, and correspondence) to the School’s committees as required.· Additional duties as assigned.MINIMUM QUALIFICATIONS (unless identified as preferred):· College diploma· Minimum 2 years of previous relevant experience· Advanced administrative skills.· Excellent and professional communication skills, both written and verbal· Organizational and problem-solving skills· Proficient computer skills (e.g. Microsoft Office, university course management system, PeopleSoft).· Flexibility and the ability to work independently· Ability to function effectively in a multi-stimuli and highly disruptive environment, where focus and the ability to work in a shared office environment is extremely important.· Experience with, and knowledge of, content management systems and online messaging applications (e.g. email, MS Teams, etc.).· Ability to maintain high level of confidentiality.· Demonstrated initiative and diplomacy,· Strong attention to detail and accuracy,· The ability to multi-task, and prioritize effectively.TYPE OF JOB:Permanent Full-Time (35 hours per week)EFFECTIVE DATE:To be determinedSALARY RANGE:SSG 9 – $55,195 to $67,248 per annum, dependent on experience.APPLICATION INSTRUCTIONS:Submit a letter of application and resume by clicking “Apply Now”.
