- To be responsible for all of the office administration, including technical document control, file management, production of meeting minutes and reports and telephone/email progress chasing
- To raise purchase orders for the site as required
- To administer time sheets, holiday forms and miscellaneous documentation as required
- To be responsible for closing out all AMS work orders
- To be responsible for ordering and distribution of uniform, PPE and stationery
- To control administration of sub-contractors and suppliers in accordance with EFS procedures, including but not limited to the issuing and tracking of purchase orders, sub-contract instructions and all necessary documentation for site visits
- To be responsible for hiring/off-hiring plant and equipment as specified
- To ensure that all maintenance jobs are escalated through the system as soon as possible
- To produce and distribute weekly paperwork for engineers and operatives and to log on to the Asset Management System with relevant updates and status changes for any returned paperwork
- To arrange and book in skip deliveries/exchanges and to ensure that appropriate paperwork is in place
- To organise and co-ordinate the Building Condition Surveyor, including but not limited to data entry and compiling and distributing reports
- To be responsible for booking all external deliveries with site logistics
- To operate the helpdesk as required
- To complete various general administrative duties as required by the Site Manager in order to support an efficient operation
Who you’ll be:
- Whilst specific qualifications are not required for this position, an understanding of the facilities services industry would be advantageous
- Interest in Health & Safety / current qualification I.E. IOSH/NEBOSH or willingness to acquire qualification through EMCOR UK
- A proven track record in a similar or customer facing role is desirable
- The candidate must be numerate and literate with an attention to detail
- Good level of interpersonal and customer relationship skills and the ability to work as part of a team
- Computer literacy is essential – a proven track record in using bespoke software packages would be advantageous
- Good Health & Safety and quality awareness

- The individual must be willing and able to gain and maintain DV clearance
