With events and activities for a diverse public that enliven, educate and entertain, we welcome visitors year-round, passionately dedicated to nurturing creativity, fostering connection and bringing learning to life.We are currently looking to bring on board a motivated, organized, detail oriented and customer-focused Registrar, Camps to support all administrative processes related to the operations of Camps and Learning Programs.Position Title: Registrar, CampsDepartment: Arts, Culture and LearningReporting to: Senior Manager, Learning and Assistant Manager, CampsType of Employment: Full-time, 35 hours per weekVacancies: 1Compensation: $45,000-$50,000 annual salary, plus a comprehensive benefits packageLocation: At our waterfront campus in downtown TorontoSUMMARY OF FUNCTIONThe Registrar, Camps is responsible for managing the camp registration, communicating with families, tracking payments, performing general office duties and supporting all financial processes within Camps and Learning department. This role requires delivering exceptional customer service to all participants and stakeholders via phone, email and in-person communication. The successful candidate brings a positive attitude and be comfortable managing multiple tasks with competing priorities. As a detailed-oriented person, the candidate should be able to learn internal processes while striving to improve these systems and increase efficiency. The ideal candidate will have a solid understanding of camp operations including customer service management database knowledge, along with the ability to learn internal systems and contribute to improving processes for greater efficiency.DUTIES

  • Manages the registration process for Camp programs, including responding to phone and email inquiries, processing online registrations, and distributing account information such as receipts, and account details in a timely and professional manner.
  • Serves as the primary point of contact for all Camp-related inquiries, providing timely and accurate information about availability, fee, schedules, subsidies and program details via phone, email, and in-person interactions.
  • Oversees the administration and maintenance of registration systems, CampBrain.
  • Completes seasonal system configuration in CampBrain and ensures ongoing maintenance and reporting are accurate and up to date.
  • Processes all payment transactions for Camp programs and some transactions for the School Visits program, including point-of-sale, cheque, and cash payments, and works closely with the Finance department to ensure fiscal accountability and accuracy.
  • Administers the Camps Subsidy program, assisting with grant writing, reporting, managing application criteria, intake, and eligibility reviews.
  • Collaborates with the Marketing team on the annual review and updates of web and print materials to reflect current program offerings and improvements.
  • Coordinates administrative tasks for Camps, including developing and implementing systems and procedures for reporting and tracking purposes.
  • Supports the Learning Department in all financial processes, including credit card reconciliations, weekly deposits, cheque requisitions, and biweekly/monthly financial reporting, ensuring complete and accurate documentation and budget coding.
  • Assists the Senior Manager, Learning and Assistant Manager, Camps with program review and development by identifying camper needs and trends through the registration process.
  • Trains seasonal Camp staff on administrative procedures that support Camp operations.
  • Supports the Learning Department with onboarding and training of all School Visits and Camps seasonal staff.
  • Provides supervision and support to co-op students, interns, and volunteers as needed.
  • Assists the School Visits team with daily operations during the September to June school year.

REQUIREMENTS

  • Post-secondary education in Education, Arts Management, Recreation or a related field.
  • 1-3 years of administrative experience in a similar capacity, preferably within a camp, not-for-profit or education institution.
  • 1-3 years of experience in customer service.
  • Excellent oral and written communication skills, including an ability to handle potentially difficult situations with diplomacy.
  • Strong technological aptitude and proficiency with Microsoft Office 365 and related applications.
  • Experience with CampBrain or other customer relations management database software is desirable.
  • Standard First Aid and CPR-C.
  • As a condition of employment, a Vulnerable Sector Check that is satisfactory to Harbourfront Centre will be required of the successful candidate. The cost of this screening is to be covered by the incumbent.
  • Familiarity with Ontario Camps Association (OCA) and accreditation process & standards will be considered an asset.
  • Must be legally eligible to work in Canada. Non-Canadian applicants must have a valid documentation authorizing their ability to work in Canada.
  • This role is based in Toronto. The candidate must be able to work on site at our lakeside campus.
