Receptionist – Urgently Hiring
Location: Henderson
Pay: $18-21.50/hr DOEWe are looking for a Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks.Responsibilities Receptionist and Administrative Coordinator completes clerical and administrative tasks for operations and performs Receptionist duties. Answers phones, greets visitors, answers emails, may be asked to run reports or create reports, orders office supplies and other supplies as directed.Essential Functions/Responsibilities:

  • Answers phones, greets customers and vendors, answers employee or customer/vendor questions, may provide information, or take, place, and process customer orders.
  • Opens customer accounts by recording account information.
  • Manages incoming and outgoing correspondence, including emails, faxes, mail and packages.
  • Files, organizes records, prepare, or processing invoices and other important documentation.
  • Create and maintain filing systems, both electronic using an ERP and physical, ensuring the confidentiality and security of files and filing systems
  • May manage and assist with accounts payable and accounts receivable and assists with financial accounts by processing customer adjustments.
  • Maintains customer records by updating account information.
  • Track customers’ orders by UPS/FED EX or any other type of shipping method.
  • Retrieves mail from off-site PO box on a weekly basis.
  • Monitors and orders office supplies and may order production supplies, including checking inventory and working with vendors to always ensure adequate levels of necessary supplies.
  • Operates and manages office equipment including printers, copiers, fax machines and multimedia instruments.
  • Ensures adequate stock of copier paper and reorders printer ink supplies as needed.
  • Assist production, quality, and maintenance teams with data collection and management.
  • May help human resources with some administrative tasks.
  • May assist with planning, organizing, and running onsite event activities.
  • Communicates with co-workers, management, clients, vendors, and others in a courteous and professional manner.
  • Responsible for following all regulations, policies, work procedures and instructions. This always includes all FDA & GMP’s.
  • Responsible for following ALL Plant Safety Rules and OSHA Rules: understand and follow plant safety rules including/but not limited to safe lifting practices, safety on machine operations.
  • Other duties as assigned.

Education, Work Experience, Skill Requirements & Certifications:
1. Minimum Education (or substitute experience) required:

  • High School Diploma

2. Minimum Experience:

  • Minimum 2 years of related administrative experience required.
  • Experience with enterprise resource planning (ERP) software for inventory and process manufacturing is a plus.
  • Some project management experience is a plus.
  • Bilingual desired, but not required.

3. Skills Required:

  • Communication – Requires excellent interpersonal and strong communication skills (verbal and written) for interaction with customers, suppliers, team members, including the ability to maintain a positive and professional working relationship with peers, management, and support resources, with a constant commitment to teamwork.
  • Computer Skills – demonstrates proficiency in Microsoft Office applications and other software as required. Knowledge of ERP software (Great Plains) a plus.
  • Customer Relations – establishes and maintains long-term customer relationships, building trust and respect by consistently meeting and exceeding expectations
  • Basic skills – able to perform basic mathematical calculations, balance and reconcile figures, punctuate properly, spell correctly and transcribe accurately.
  • Strong organizational skills with excellent attention to detail along with ability to prioritize multiple assignments.
  • Ability to work in a fast-paced environment and process requests consistently with general supervision.

4. Additional Information

  • Exposure to food allergens, wheat, nuts, coconut, soy products.
  • May work occasional overtime including weekends.

Expected salary

$18 – 21.5 per hour
