Our mission at Real Property Management Service is to provide unparalleled property management solutions that save our clients time and money. We seek a highly organized, detail-oriented, and experienced Property Manager to join our dynamic team.You Have:

  • A Bachelor’s degree in Business Administration, Real Estate Management, Real Estate Studies, or a diploma in Property Administration, or a related field.
  • At least 7 years of experience in a property management role, with a focus on low-rise residential properties and single-family homes.
  • Strong knowledge of Canadian and Ontario leasing laws, fair housing regulations and property management best practices.
  • Exceptional organizational and time-management skills.
  • Strong financial acumen and experience in budget management.
  • Excellent communication, negotiation, and problem-solving skills
  • A proficiency in property management software, Google Workspace and experience with ERP Systems or industry specific software (including LeadSimple and AppFolio)
  • A proactive attitude and are able to work independently.
  • A detail-oriented work ethic with a problem-solving mindset.
  • Adaptability and are able to handle multiple tasks in a fast-paced environment.

Accountabilities & Desired Outcomes

  • Managing Owners: Ensuring timely and accurate communication with property owners, achieving a NPS of 30 based on quarterly feedback surveys.
  • Resolving Income Statement Questions: Providing clear and concise explanations for income statement queries, achieving a resolution rate of 80% within 4 hours of inquiry.
  • Owner Happiness: Maintaining a high level of owner satisfaction, reflected in positive feedback and testimonials, with a target NPS of 30 or higher.
  • Advising Clients on Portfolio Optimization: Assisting clients in optimizing their property portfolios to maximize returns, achieving an average portfolio growth rate of 20% annually.
  • Validating Eligibility of Work Orders: Process work orders efficiently, meeting or exceeding Service Level Agreements (SLAs) by ensuring 100% of eligible work orders are validated within 6 hours of submission, facilitating swift resolution and tenant satisfaction.

Day-to-Day Responsibilities

  • Provide timely and accurate updates to property owners regarding property status, maintenance activities, and financial performance, fostering transparency and trust.
  • Address income statement inquiries promptly with clear and concise explanations, ensuring owners are informed and confident in their investment.
  • Actively engage with property owners to gauge satisfaction levels, address concerns, and solicit feedback to continuously improve owner experience and happiness.
  • Offer personalized advice and recommendations to clients on portfolio optimization strategies, keeping them informed of potential opportunities for maximizing returns.
  • Validate work orders swiftly and accurately, according to the SLA to expedite resolution and enhance tenant satisfaction.
  • Manage and resolve owner inquiries and concerns in a timely manner, demonstrating responsiveness and commitment to owner needs, adhering to SLAs.
  • Monitor property portfolio performance closely and provide detailed reports to owners on occupancy rates, rent collection, expenses, and overall financial performance.
  • Utilize various communication channels such as email, phone calls, and virtual meetings to keep owners informed of relevant updates, news, and industry trends.
  • Continuously seek opportunities to enhance owner communication and satisfaction through process improvements, technology advancements, and training initiatives for the property management team.
  • Stay updated on industry best practices and emerging technologies in property management to enhance operational efficiency.
  • Efficiently manage the property management CRM inbox by promptly responding to and assigning emails.
