About this opportunity

The post holder will provide a comprehensive, quality and confidential administrative service to the Gleeds Leighton Hospital Project Management Team. A key requirement of the role will be to help organise and co-ordinate workload and activities in conjunction with and supported by the team to ensure that an efficient service is provided. It is essential that the post holder is able to exercise initiative suitable to the role and is fully supportive to other colleagues in the project team.

Gleeds are working with Mid Cheshire Hospitals Trust (MCHT) to deliver their Healthier Futures (HF) Programme to transform their Healthcare service in the region through the re building of Leighton Hospital. The Hospital development is part of the government led New Hospitals Programme (NHP).

Through our Gleeds team, we are providing project management for a large-scale Hospital development providing support services such as contract administration, risk management, change management, stakeholder engagement and communication, reporting and strategic planning & scheduling.

The team is made up of colleagues from across the North West and North Wales, and we are working closely with the Trust PMO Team and leadership group in a highly collaborative environment.

Responsibilities include but are not limited to:

  • Provide a comprehensive administrative service to the Project Team. This will include drafting, emails and co-ordinating responses with minimum supervision and guidance, dealing with day-to-day enquiries, managing electronic diaries / email accounts and providing proactive responses where appropriate.
  • Proactively manage diary commitments by liaising with others, internally and externally, ensuring that all the required preparation is accurate and available, and that all relevant parties are briefed on any difficulties, problems or issues.
  • Build and maintain constructive relationships with others, within and across the team and externally with partners and the MCHT team in order to improve the effectiveness and efficiency of services for both staff and patients.
  • Exercise own judgement based on acquired knowledge and experience, as to when to deal with queries or issues personally and when to escalate to the lead PM (or other member of the project / programme team) and with what degree of urgency.
  • Type and draft where appropriate, documents as required, checking all typing for accuracy, spelling and grammar before it is sent. Produce letters, memos, draft agendas, minutes, reports, tables, presentations and other documents fully utilising Microsoft Office suite.
  • Be fully conversant with all required electronic systems for correspondence, including specialist computer systems as applicable.
  • Develop and maintain systems for monitoring actions across the various workstream groups.
  • Advising Directors promptly of any issues that have arisen, or that might arise, on projects; in particular those that might impact on Gleeds professional indemnity (PI) insurance.

About You

Who we’re looking for:

Experience, Knowledge and Key Skills

  • Excellent knowledge of Microsoft Office (including Outlook, Word, Excel and Power Point)
  • Management of diaries
  • Minute taking skills
  • Ability to prioritise own work within tight deadlines
  • Ability to identify problems and develop creative solutions
  • Decision making autonomy
  • Demonstrate good organizational and time management skills
  • Interest in motivating and developing people
  • Clear and effective communication skills – both oral and written.
  • Methodical way of thinking and approach to work.
  • Good problem solving, negotiating, financial and numeracy skills.
  • Ability to work as part of a team

Qualifications

  • RSA 3 typewriting or equivalent experience
  • Proficient in computer skills, ECDL or equivalent experience.
  • NVQ level 3 in Business Administration or equivalent qualification and significant experience in a secretarial or administrative role.
  • Understanding of equality, diversity and rights.
  • Sound knowledge of confidentiality in accordance with Date Protection Act and National/Local guidelines.
