IFC is seeking to recruit a highly motivated, well-organized Program Assistant to ensure the smooth operation of the IFC MCT Amman Hub Office and support the implementation of the IFC Program through administrative and other support services to select IFC country, industry, and cross-cutting departments based in Amman.

Responsibilities:  

  • Manage calendars, travel, events, meetings, and appointments for department Heads and team members, ensuring timely follow-up on workflow and priorities.
  • Coordinate the planning and execution of internal and external events, including workshops, conferences, retreats, and stakeholder engagements—overseeing logistics, invitations, materials preparation, and on-site support.
  • Provide comprehensive administrative, logistical, and operational support to department Heads and senior team members.
  • Draft, review, edit correspondence, reports, and presentations on behalf of team leaders; manage incoming and outgoing communications to ensure timely responses and appropriate follow-up.
  • Maintain confidential files, records, and databases in accordance with IFC policies.
  • Prepare text, reports, charts, and system-generated documents; process materials for signature, ensuring compliance with IFC standards and guidelines.
  • Support team leads in maintaining and updating content on iPortal, SharePoint, and OneDrive repositories, ensuring accurate tracking, e-filing, and archiving in line with record retention policies.
  • Perform ad hoc duties as assigned by Heads of Industry or cross-cutting departments.
  • Coordinate IFC Crisis Management Team meetings, prepare minutes, and monitor follow-up actions.
  • Serve as back-up support for other ACS colleagues in the office as required.

Work will involve frequent interaction with the following:

  • Internal contacts: other VP units, The World Bank, as well as staff in all locations, locally and internationally.
  • External contacts: Government Officials, Consultants, External Organizations, and other Service providers.

Selection Criteria:

  • A High School Diploma is required; a Bachelor’s or Master’s degree is preferred and will be considered an asset.
  • Minimum of 7 years of relevant work experience, or an equivalent combination of education and experience. Advanced working skills in multiple computer software applications (e.g. inter-related word processing, spreadsheets, electronic mail, database and presentation applications).
  • Demonstrated advanced knowledge of diverse and complex administrative routines, processes, and procedures.
  • Prior experience in a wide range of secretarial, administrative, logistical, and financial tasks is desirable.
  • Strong administrative, organizational, and time management skills, with the ability to prioritize and handle multiple tasks efficiently.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and familiarity with IFC systems and platforms such as iDesk, iPortal, Webex, Admin Portal, and SAP.
  • Familiarity with IBRD and IFC policies and procedures is an advantage.
  • Proven ability to produce high-quality work under pressure and deliver assignments within tight deadlines.
  • Strong team orientation with the ability to collaborate across teams, while also demonstrating initiative and independence.
  • Excellent interpersonal skills, with a high degree of tact, discretion, and sound judgment to effectively interact with staff at all levels, as well as external clients and partners.
  • High level of dependability and confidentiality in handling sensitive information.
  • Willingness and capacity to learn new systems and processes to support evolving office needs.
  • Excellent verbal and written communication skills in English and Arabic, including the ability to draft and edit correspondence and materials.
