Job Title: Member Manager, EPIC BLM & US Forest Service (BLMFS) Division

Location: Remote (U.S.)

Status: Full-Time, Exempt, temporary position anticipated to be 28-weeks 

Reports To: National Division Director, EPIC BLM& USFS Division 

Schedule/Hours: Full-time, 40 hours/week (Monday – Friday) Expected to be available during ACE Core Business Hours of 12:00pm – 5:00pm EST (to accommodate business needs in all US time zones) with some adjustment expected to accommodate specific projects and program needs. Some evening and weekend hours may be occasionally required.  

Start Date: June 1, 2026

Position Summary
The EPIC BLMFS Division supports ~300 members annually in individual placements across federal, state, and partner agencies. Projects span ecological restoration, wildlife management, recreation, planning, and more.

The Member Manager plays a central role in delivering these programs by managing the full lifecycle of assigned members and serving as a key liaison between members, agency partners, and internal ACE teams.

This is a high-ownership, coordination-heavy role responsible for:

• Supporting members from recruitment through exit
• Maintaining strong partner relationships
• Ensuring compliance with program and organizational requirements

Success in this role requires strong communication, organization, and the ability to manage multiple timelines and stakeholders in a dynamic, remote environment.

CORE RESPONSIBILITES:

Member Lifecycle Management

Own and manage the full experience of assigned members, including:

• Recruitment, interviewing, and placement coordination
• Onboarding (documentation, systems, compliance requirements)
• Ongoing support (check-ins, issue resolution, professional development support)
• Timesheet review and basic administrative support
• Conducting beginning-, mid-, and end-of-term evaluations
• Managing offboarding and exit processes

Serve as the primary point of contact for members for questions related to:

• Logistics (travel, housing, uniforms, reimbursements)
• Program expectations and policies
• Workplace or mentorship challenges

Partner & Project Coordination

• Serve as a primary liaison for agency partners (BLM, USFS, etc.)
• Support project setup, including expectations, logistics, and communication cadence
• Maintain regular communication with partners on member performance and project needs
• Address challenges proactively, including facilitating performance or disciplinary conversations when needed
• Coordinate with internal staff (Program Managers, Division Support Staff, HR, Safety, etc.) to ensure smooth project execution

Recruitment & Outreach

• Develop and post position announcements
• Manage applicant pipelines (ApplicantPool or similar systems)
• Conduct interviews and coordinate candidate selection with partners
• Build and maintain recruitment pipelines (universities, organizations, networks)
• Support efforts to increase diversity, accessibility, and inclusion in recruitment

Compliance, Reporting & Systems Management

• Ensure all member documentation is complete, accurate, and compliant (e.g., onboarding forms, background checks)
• Track and manage key deadlines across onboarding, evaluations, and reporting
• Utilize internal systems (e.g., ACE Apps, Paycor, Jotform, Expensify) to manage workflows
• Maintain accurate records and contribute to reporting needs
• Follow ACE safety protocols and support incident reporting when needed

Internal Coordination & Continuous Improvement

• Collaborate with division staff to improve onboarding, communication, and tracking systems
• Participate in regular team meetings and cross-functional coordination
• Identify and implement process improvements based on member and partner feedback
• Contribute to a positive, responsive, and mission-driven team culture

QUALIFICATIONS:

Required:

• Bachelor’s degree and one year of related professional experience OR equivalent level of education and/or experience.
• Strong organizational and time management skills
• Excellent written and verbal communication skills
• Ability to manage multiple priorities and deadlines independently
• Experience working with diverse groups of people
• Comfort with phone, email, and virtual communication
• Proficiency with or ability to learn systems such as Google Workspace, Slack, and applicant tracking tools
• Commitment to ACE’s mission and participant development
• Ability to work in a remote, highly collaborative environment

Preferred:

• Experience in program and project coordination, workforce development, or conservation-related fields
• Familiarity with federal or state land management agencies
• Experience with AmeriCorps, conservation corps, or similar service programs
• Experience managing compliance-driven programs or documentation workflows

• Independently manage the full lifecycle of assigned members, from onboarding through exit
• Maintain accurate, compliant member records and meet all program deadlines
• Build strong, responsive relationships with both members and agency partners
• Communicate proactively about challenges, timelines, and solutions
• Contribute to a positive team environment and actively support colleagues when needed

Over time, success in this role also looks like:

• Identifying and implementing improvements to workflows, communication, or member experience
• Exercising sound judgment in complex or sensitive member and partner situations
• Representing ACE and the EPIC program with clarity and care at external events such as job fairs or conferences

Physical Demands, Work Environment and Working Conditions:

• Physical Demands: Requires frequent sitting, standing, walking, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of computer keyboard/mouse and other office equipment. Occasionally required to stoop, kneel, climb stairs, and/or crouch (all physical demands are required with or without reasonable accommodations).
• Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus.
• Weight Lifted or Force Exerted: Frequently moves up to 10 lbs., occasionally moves up to 25 lbs.
• Environmental: Mainly indoor, office environment conditions; indoor air quality is good and temperature is controlled.
• Noise Environment: Moderate noise such as in a business office with equipment and light traffic.
• Travel: This position requires domestic travel, less than 5%. Occasional travel for site visits or recruitment events

Compensation (Grade 2): Starting annualized salary of $46,000 – $48,000, based on experience.

Holidays, Vacation, and Sick Time: As an ACE staff member, you will be eligible to accrue up to 80 hours of paid vacation time annually during your first two years of continuous employment, then it increases to 120 hours annually. ACE observes 13 paid annual holidays (floating holiday flexibility). ACE provides 10 days (or 80 hours) of paid sick time annually.
