Job Title: Member Manager

Location: Asheville/Fletcher, NC

Department/Division: CREW, Eastern Division 

Status:  Regular Full-Time (Exempt)

Reports To: Associate Director of Member Programs

Schedule/Hours: Full-time, average 40 hours/week. Flexible hours possible, expected to be on duty during ACE Core Business Hours of 12:00 pm – 5:00 pm Eastern time. Some evening and weekend hours may be occasionally required. This position includes limited opportunities for local remote work.

Eastern Division Program Summary:

ACE’s Eastern Division provides young adult volunteer AmeriCorps crews to carry out a variety of environmental conservation projects on public and conserved lands east of the Mississippi River, with occasional projects farther west.  The Eastern Division also supports crew projects in the US Caribbean territories. The Crew model focuses on professional development, training, and skill development for early-career crew members through delivering high-value conservation work in partnership with the land agencies and communities where we work.

Position Summary:

The Member Manager (MM) is an office-based position that coordinates closely with all staff and volunteer corps members (AmeriCorps and Non-AmeriCorps members) in the Eastern Division Crew Program. As part of the Member Management team, the MM supports crew members’ growth, learning, and development during their terms of service with ACE.  The RMM leads the recruitment and selection of all corps members for the Division and serves as the main point of contact for members before and after their terms of service with ACE. The priorities and duties of this role fluctuate with the seasonal demands of the organization, with some periods focused primarily on recruitment, interviewing, and onboarding new members.  The MM’s thoughtful decisions in crew member selection play a critical role in maintaining a healthy and positive work culture in the Eastern Division’s corps.

The MM interacts with staff in other ACE divisions, outside organizations, and the general public. These relationships require a professional demeanor, positive attitude, and willingness to act as an ambassador of ACE’s program at all times. The Recruitment Member Manager must be flexible, adaptable, and enthusiastic while working in a fast-paced office environment with regular visits to field operation locations.

Essential Functions and Responsibilities:

Outreach & Recruitment (about 30-40%)

• Member outreach and recruitment
• Member onboarding, support, and management
• Collaborate remotely with other ACE offices across the U.S. to ensure consistency and policy compliance across divisions
• Manage established online recruitment efforts across a variety of job posting platforms
• Review applicants and conduct screenings and corps member interviews using standard protocols
• Serve as the primary contact for member applicants during the interview process
• Collaborate with program staff to set recruitment goals aligned with project goals
• Maintain, develop, and disseminate recruitment materials in collaboration with other ACE departments and divisions
• Increase ACE’s local and national presence through advertising and promotional materials, in collaboration with ACE’s National Marketing & Communications team
• Network and develop partnerships with organizations in the local community
• Oversee big-picture recruitment planning and strategies for the Eastern division
• Attend virtual and in-person career fairs locally and across the country
• Assist in developing and implementing a standard protocol for attracting cohorts of new members to the division with a variety of skills and life experiences

Member Onboarding, Support, and Management (about 50-60%)

• Engage, oversee, and support AmeriCorps and non-Americorps volunteer members during their ACE conservation service
• Develop and maintain strong communication between ACE staff and all incoming and current corps members; serve as one of the main points of contact for members throughout their terms of service
• Maintain, develop, and disseminate member support materials in collaboration with other ACE departments
• Lead member on-boarding and off-boarding processes, ensuring accurate data management and timely completion of all steps required for compliance with ACE and AmeriCorps policies
• Coordinate Orientation weeks for new members, organizing arrival details, supporting move-in days at member housing, leading training modules, and scheduling established training sessions with the Eastern Division team
• Collect and manage large amounts of data while complying with strict & detailed AmeriCorps requirements regarding proper timing, onboarding, and exiting of AmeriCorps members
• Ensure all AmeriCorps members remain in compliance with required documents including timesheets and Beginning-of-Term, Mid-Term, and End-of-Term Evaluations
• Provide performance feedback to members and coach them in their professional growth by modeling professionalism and having coaching conversations with members
• Maintain the utmost professionalism and confidentiality in sensitive communications with members and staff
• Ensure that members have the most up-to-date resources that supplement their field experience by updating member schedules with information for professional development opportunities, and trainings.
• Assist other ACE staff to mentor and develop members into stewardship and leadership roles
• Oversee member housing, staying aware of member conduct in housing, and coordinating and attending routinely scheduled cleaning events (no responsibility for direct facility maintenance)
• Conduct site visits to observe and support conservation projects in the field, with a focus on member learning and development.  Site visits involve camping and participating in the crew’s conservation tasks such as trail work and invasive species management.  Typical site visits for the MM may last 2-4 days and occur 4-6 times per year.

Other Activities, as assigned (about 10%)

• Work on special projects for improving ACE, both at the Eastern Division level and nationally (example: serving on a national task force/working group, creating new professional development programs for members and division staff, etc.)
• Assist Associate Director of Member Programs in training new staff
• Respond to emergencies and organize medical care for sick or injured Members (including after hours)
• Assist Associate Director with identifying places for program improvement
• Share rotating duties of having the local On-call Phone for one week at a time and being responsive to emergent needs of members in the field
• Other duties as assigned

Required Experience and Qualifications:

• Bachelor’s degree and one year of related professional experience or an equivalent combination of education and experience.
• Previous experience working in and leading a team setting supporting young adult learning and development
• Relevant personal or professional experience in nonprofit, environmental conservation, and/or natural resource management
• Experience communicating with young adults and conducting interviews
• Experience and comfort speaking by phone or video meeting with potential corps members who come from a wide variety of personal and professional backgrounds
• Exceptional attention to detail
• Experience in teaching, public speaking, public outreach, and coordinating events
• Familiarity with data management and records maintenance processes
• Experience handling confidential information in a professional setting
• Must maintain a positive, constructive, and flexible work environment conducive to team dynamics
• Strong skills in leadership, interpersonal communication, organization, management, problem solving, conflict resolution and motivating others
• Takes initiative and has strong planning, organizational, and time management skills; ability to prioritize and plan work activities to maintain effective support of a complex array of projects; uses time efficiently and develops action plans when given a demanding workflow
• Computer skills required including intermediate knowledge of Google Suite, and professional email etiquette; basic data management skills
• Experience handling complex data sets and spreadsheets

Physical Demands, Work Environment and Working Conditions

• Physical Demands: Requires frequent sitting, standing, walking, carrying, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of computer keyboard/mouse and other routine office equipment. May occasionally be required to stoop, kneel, climb stairs, and/or crouch.  Site visits may require ability to hike over rough terrain, and camp overnight under field conditions.
• Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus.
• Weight Lifted or Force Exerted: Frequently moves up to 10 lbs., occasionally lifts up to 25 pounds.
• Environmental: Moderate noise such as in a business office with equipment and light traffic. Site visits may take place under adverse weather conditions and in various climates.
• Travel: Willingness to travel locally, work occasional weekends/evenings, and attend community events, as needed

Compensation (Grade 2): Starting annualized salary of $50,000 – $52,000, based on experience.

Holidays, Vacation, and Sick Time: As an ACE staff member, you will be eligible to accrue up to 80 hours of paid vacation time annually during your first two years of continuous employment, then it increases to 120 hours annually. ACE observes 13 paid annual holidays (floating holiday flexibility). ACE provides 10 days (or 80 hours) of paid sick time annually.
