As advocates for the insurance industry and the people who depend upon it, we seek to understand the challenges facing Canadians, the industry and governments so we can proactively prepare for the future.Duties & ResponsibilitiesThe incumbent will support the Vice-President, LegalThis support includes but is not limited to:Manage/maintain the schedule of the Vice-President, Legal ensuring it is up to date, ensuring sufficient time in between meetings for prep/travel if necessaryDocument management (ensuring that the executive is prepared for meetings by gathering materials required)Preparing presentations/reports as requiredPlanning/scheduling various Committees, Working/Advisory Groups, Client Company Board and annual general meetings, including preparation/distribution of materialsAssist in maintaining legal contacts and distribution listsAssist with IBC corporate filings and other compliance proceduresAssist with maintenance of repositories for contracts, retainers, interventions, bulletinsEnsure that correspondence being sent external/internal follows IBC standard branding/templatesProcessing invoices and expense reportsMaintain a high degree of discretion and confidentialityMust be confident in ability to take the lead and make decisions within scopeStrong ability to plan/prioritize work, anticipate and adapt to different needsAdhere to IBC policies and proceduresMaintain a professional and courteous relationship with all levels of external/internal stakeholdersQualificationsMinimum 5 years as Legal Assistant to a senior officerDiploma in Legal Assistant or equivalentExperience with preparing agendas, taking minutes, making arrangements for Committee, Board and other meetingsExcellent oral and written communication skills in English; French is an assetHigh level of tact and diplomacy in dealing with confidential issues and high-level executivesDemonstrated advanced knowledge of Microsoft Office applications (Word, Excel, PowerPoint)Knowledge of SharePoint, CRM, Concur, Dayforce and MailChimp an assetExcellent time management skillsEffective problem-solving, critical thinking, networking and interpersonal skillsAbility to multi-task under pressure and without supervisionExperience as a law clerk may be an assetWhy Join IBC?Competitive salary and a benefits package including an employer pension-matching programHybrid work environmentVariety of job tasks to help accelerate your professional skills developmentWorking with a top-tier team, full of all-stars and industry leadersStrong and supportive leadership with a focus on your development and growthIBC is proud to be an equal opportunity employer.
