I‘m pleased to share I’m currently looking to hire an interim HR Operations Team Leader to join an Insurance firm for a 9 month maternity cover contract. The role holder will be responsible for overseeing and managing the HR Operations team, ensuring the efficient execution of core HR processes, compliance with regulations, and continuous system and process improvements.This role provides leadership to a high-performing HR Operations team, driving enhancements in the HR system (HiBob), and ensuring compliance with employment law, SMCR, and immigration requirements. Additionally, the role plays a key part in project management, supporting strategic HR initiatives to improve efficiency and enhance the employee experience across all entities.Key responsibilities & accountabilitiesHR Operations Management
- Lead and manage the HR Operations team, ensuring high-quality service delivery and operational excellence.
- Oversee key HR processes, including onboarding, offboarding, internal transfers, probation administration and contract administration.
- Ensure compliance with company policies, employment legislation, and best practices across all HR operations.
- Provide guidance and training to the team, fostering a culture of development, continuous improvement and efficiency.
- Oversee prompt and satisfactory resolution of queries through the HR inbox, handling any escalated issues.
HR System Oversight (HiBob)
- Manage and maintain the HR system (HiBob), ensuring data integrity, functionality, and security.
- Ensure a high level of system data integrity and accuracy.
- Identify and implement system improvements to enhance user experience and operational effectiveness.
- Collaborate with other functions to identify and implement process efficiencies through system improvements and integrations.
- Act as the escalation point of contact for system-related queries and work with vendors on contract negotiation and resolving high-level technical issues.
- Support HR reporting and analytics, ensuring accurate data is available for decision-making.
Project Management
- Lead and support HR operational projects, such as system upgrades, process automation, and policy reviews.
- Develop project plans, set timelines, and track progress to ensure successful execution.
- Coordinate with internal stakeholders and external vendors to deliver projects on time and within scope.
- Support the annual compensation review process, including system configuration and training, as well as overseeing pay award letter generation and uploads.
- Drive continuous improvement initiatives, ensuring HR operations align with business strategy and employee needs.
HR Process Ownership & Continuous Improvement
- Oversee core HR processes, ensuring efficiency, compliance, and a seamless employee experience.
- Identify opportunities for process improvements and implement best practices.
- Ensure HR documentation, policies, and templates remain up to date and legally compliant.
SMCR Compliance
- Oversee HR’s responsibilities in ensuring compliance with the Senior Managers & Certification Regime (SMCR), including the annual reassessment process.
- Manage the SMCR onboarding process for new senior and certified managers, in partnership with Compliance, Talent Acquisition and Learning & Development teams.
- Support Compliance with new SMF changes, including in competency assessments and skills gap analyses.
- Partner with Compliance to ensure accurate record-keeping for regulated employees and coordinate certification requirements.
- Work closely with Compliance and other stakeholders to support regulatory reporting and audits.
Skills required
- Excellent project management skills, with experience leading HR-related projects.
- Strong stakeholder management skills, with the ability to work cross-functionally and drive process improvements.
- Proficiency in HR reporting and analytics to support decision-making.
- Knowledge & Experience
- Proven experience in HR operations, with prior experience managing a team. Experience in financial services is preferred but not essential.
- Strong knowledge of HR systems, preferably HiBob, with experience in system administration and improvements.
- In-depth understanding of UK employment law, HR compliance, and regulatory frameworks such as SMCR.
- Experience managing immigration, global mobility processes and right-to-work compliance.
