How You’ll Make an Impact

o Administer HR processes on HRIS system Workday; including recruitment authorisation, onboarding, employee changes, benefits administration, and leaver offboarding processes across the EMEA region (exc. France).

o Act as expert user of all HR systems, maximising functionality to minimise administration and providing advice and guidance to line managers and HR colleagues. This could include, but is not limited to; file management, benefits, absence management, recruitment.

o Provide advice, support and guidance to the business on general HR, benefits and Workday queries.

o Maintain and update records, databases, trackers, ensuring all internal systems are accurate and complete.

o Using Workday as the data source produce ad hoc reporting requests; providing accurate data for clients and HR colleagues.

o Supporting the administration of absence management and relevant ER processes

HR Administration

o Provide administrative support to all areas of HR, performance management, employee administration, and compensation and benefits. This will include, but is not limited to:

o Administration of new hire (inc. thorough right to work checks) / employee changes / leaver process;

o Within tight deadlines, ensure all business processes are complete and accurate for monthly payroll processing on Workday and provide ad hoc payroll support for select regional EMEA offices;

o Processing of purchase orders and invoices on JDE;

o First point of contact for the business for general HR queries, managing the myHR shared inbox and HR enquiry phoneline.

o Advising line managers on performance review, objective setting and compensation review processes as required;

o Management of benefits administration on and off Workday;

o Creation and provision of letters and documents to support all HR processes, utilising Adobe PDF / Docu-sign;

o Support the HR Advisors and HR Business Partnering team with administration of employment relations matters including note-taking as required;

o Support HR Advisors and HR Business Partnering team with immigration and tax compliance process and procedures, liaising with employees and third-party vendors as required;

o Maintenance of employee files in hardcopy (as required) and online (Workday);

o Maintenance of HR / Benefits administration handbooks and T&C matrixes as required;

o Responding to benefits queries, guiding employees on the use of Workday in areas such as auto-enrolment;

o Provision of HR administrative support to line managers and employees as appropriate;

o Responsible for administrative changes to procedures and policies;

Related Duties

o With the HR Apprentice, facilitate the First Morning Welcome.

o With the HR Apprentice, coordinate and facilitate the EMEA New Starter Induction on a quarterly basis (in-person)

What you’ll bring to the team

Essential

o Previous administrative experience.

o Understanding of HR processes and services.

o Strong analytical skills, data manipulation and reporting metrics (analysing and interpretation of data).

o Commitment to deliver exceptional levels of client service for colleagues and clients.

o Excellent working knowledge of Microsoft Office applications, especially Excel and Word.

o Ability to work collaboratively as part of a team or on own initiative.

o Exceptional level of accuracy and attention to detail.

o Pro-active and strong desire to problem-solve.

o Strong written and verbal communication skills.

o Strong time management, organisation and prioritisation skills with the ability to work under pressure to deadlines.

o Adaptable and flexible.

o Approachable and confident in dealing with a variety of enquires.

o Experience of handling confidential and sensitive information with diplomacy and discretion.

o Ability to learn Christie’s systems as appropriate to role.

o Conscientious, tenacious and resilient.

o Cross cultural awareness.

o Experience using HR information systems, ideally Workday.

o General awareness of relevant HR legislation and policies.

Desirable

o Degree or relevant work experience with an opportunity to study CIPD qualifications

o Appropriate admin / systems qualification.

o Experience in data analytics

o European languages an advantage.

o Experience of working in a global organisation.

o Experience of recruitment administration with a good understanding of end to end recruitment process.

o Art industry experience an advantage but not essential.
