The ideal candidate should have a strong passion for beauty, media, and a desire to pursue a career in PR. They must possess excellent written and verbal communication skills, be computer and social media literate, well-organised, a multi-tasker with good time management skills, and able to work to deadlinesAs a Global PR Admin Assistant you willAdministrative Support

• Maintain and update Charlotte’s in-office press archive, ensuring it remains organised and secure, with key coverage additions.
• Monitor the Press Office email inbox.
• Provide support for day-to-day operations and administrative tasks, including meeting minutes.
• Streamline online documents and team folders for efficiency.
• Assist the PR team in organising and executing special events, press launches, and press trips.
• Ensure physical coverage books and clippings are organised in the office.
• Assist with binding and printing tasks, and support meeting agendas and minute-taking to ensure teams are kept informed and all key discussions are documented.

Stock Management

• Ensure the PR cupboard remains fully stocked at all times with all SKUs, maintaining an organised system.
• Ensure the Media Kit is fully stocked for each media day depending on the focus.
• Liaise with couriers and manage press mailings/gifting on behalf of the Global Communications team.
• Handle gifting, urgent send-outs, and media day/event prep.

Reporting

• Support with clipping coverage and tracking statistics for wider reporting to the business on a weekly basis.
• Conduct press monitoring and tracking using online platforms.
• Perform competitor research, analysis, and reporting.
• Compile a press coverage report and a cost/spend report for each campaign.
• Assist in managing wrap reports within regional teams, spanning multiple reporting platforms, and ensuring alignment on spend and reporting of ROI and successes/learning.

About you

• Experience at assistant level desirable
• Excellent communication skills, with an articulate manner – written, over the phone and in person
• Great relationship-building skills and the ability to network at all levels
• Unflappable and enjoys working in a fast paced commercial environment
• Strong writing skills and a creative flair when creating reports and presentations, editing, proof-reading and compiling documents with a meticulous eye for detail
• Passionate about stories and current affairs, with a finger on the pulse of social and news trends
• Ability to work autonomously and at a hands on level
• Shows initiative and foresight
• Displays drive, ambition and willingness to tackle challenges head on
• Energetic and enthusiastic with a team spirit
