The Real Estate and Facilities (RE&F) team, part of the Corporate Services department, was established in June 2015. As our company has grown, so has our global real estate footprint. We have developed a comprehensive management model covering the entire real estate lifecycle, including space planning, transaction management, project delivery, and facilities operations. We are now looking for a Regional Facilities Manager with proven expertise and a passion for overseeing the facilities operations of our European offices.We’re hiring for a new Facilities Manager role due to the growth of our expanding London portfolio. We’re looking for candidates with experience managing entire buildings, including base build and landlord assets, ideally with campus experience (multiple buildings within a single site).Key responsibilities include supporting future expansion projects across London and overseeing the maintenance of approximately 250,000 sq ft of existing office space.This role offers an exciting opportunity to be part of a growing team, supporting a diverse and expanding portfolio across Europe. – Oversee day-to-day operations of the Facilities Management (FM) service providers across the region.
– Develop and implement tailored operational playbooks for each site.
– Collaborate with key business partners including Admin, Catering, Physical Security, EHS, IT Service Desk, IT Operations, and Crisis Management.
– Monitor the workplace ticketing system, analyse trends, and implement improvements based on data insights.
– Act as the main escalation point with property management teams and landlords.
– Prepare annual FM budgets (OpEx and CapEx) and communicate any necessary re-projections.
– Review and analyse FM financial reports, including actuals vs. forecast.
– Manage escalations with vendors and contractors to resolve issues promptly.
– Ensure all requests are handled within department SLAs, maintaining high standards of customer service.
– Draft and negotiate service agreements with vendors and service providers.
– Monitor FM supplier performance, ensuring compliance with agreed KPIs and SLAs.
– Review and approve vendor invoices, resolving any discrepancies.
– Participate in Quarterly Business Reviews with IFM suppliers to assess performance and drive improvements.
– Develop and enforce facilities policies and procedures in line with company standards.
– Provide support to multiple Business Units, managing their requests and operational needs effectively.
– Build and maintain strong relationships with internal stakeholders and external partners.
– Monitor and manage tasks and requests via the facilities ticketing system.
– Maintain accurate and up-to-date floor plans.Qualifications:Minimum Qualifications:
– Extensive experience in facilities management, workplace services, property management, or office management within the UK/European context.
– Strong technical knowledge of MEP systems, including HVAC, lighting controls, plumbing, and Building Management Systems (BMS).
– Demonstrated expertise in budget management and financial forecasting.
– Skilled in reviewing and interpreting lease agreements.
– Strong track record in managing vendor and contractor relationships effectively.
– Excellent communication skills, able to engage clearly and concisely with stakeholders at all levels.
– Proven leadership skills, with a collaborative and team-oriented approach.
– Strong attention to detail and a focus on delivering excellent customer service.Preferred Qualifications:
– Proven experience in operational support for culinary and kitchen services.
