Apex Experiences is a new division of our well-established Sales & Events Team, focused on the curation and delivery of exciting and innovative client experiences, to both our existing hotel guests and new client and local markets. Utilising and transforming our versatile event & public spaces across our portfolio of hotels; forging exciting and long-term partnerships with leading and bespoke third-party service providers, across the following areas of our business:You will embrace every opportunity to create extra special moments for our guests and provide a personal experience our guests will want to share.Role Purpose:As Experiences Manager you will be responsible for the day to day supervision of the Experiences team, responsible for effectively promoting all services and event experiences to achieve maximum sales revenue and client satisfaction for each experience, ensuring the achievement of all team revenue targets, budgets and KPIs.Responsibilities will include:
- To work with Events & Groups Support Manger (EGSM) and Partnership Manager to complete annual Experience budget for the group
- Integral in the creation of annual rolling experience calendar
- Work closely with Key Stakeholders to agree, create & facilitate all experiences across 4 key areas – Core F&B; Collaborative Partnership; Shared Party; Inhouse Experiences.
- Curation of Experience calendar with support from key stakeholders and Apex Experience team members.
- To propose annual Experiences budget expenses to EGSM in timely manner (e.g. platform annual costs).
- To ensure required forecast reporting is produced on a weekly and monthly basis.
- To work on and instigate action plans for need periods, well in advance of booking window.
- To raise ideas to EGSM on both innovation and change to ensure smooth running of department.
- Critical review of successes and improvements
- Represent Experiences at any regular or ad hoc meetings, as requested by EGSM.
- Ad hoc reporting as required by hotel General Manager(s) and EGSM.
- To host monthly team meetings and ensure all team members attend with required preparation.
- To ensure team are focused and provided with clear direction in order to achieve set budgets & KPIs.
- To ensure equitable division of workload amongst team members.
- To set training plans for teams members with the assistance of EGSM, and to lead the follow through of these activities on a day to day basis.
- To monitor team members performance on a daily basis, to support, and to liaise with EGSM on best course of action where improvements are necessary.
- To conduct regular one to one meetings and annual reviews with team members alongside EGSM.
- To support EGSM with all new recruitment hiring for Experiences Department.
- To lead induction and training for all new starters within Experiences Department.
- To follow up initial complaints received by department and propose action to hotel GM or EGSM.
- Coordinate and drive daily end of day discussion with team, questioning incomplete daily tasks/activities to identify areas to improve.
- To ensure team members adhere to the standards and procedures set out within the department.
- To acquire regular customer feedback and use this where suitable to make improvements.
- Ensure all experience & restaurant platforms are up to date, accurate, and all menus/information are updated and live.
- To work alongside the marketing team to update experience calendar and collateral.
- Critically review processes and procedures on regular basis to ensure efficiency
- Be flexible in approach to work and assist when required with supporting other teams within the department e.g. Sales/Events & Groups when instructed to by EGSM.
- Create & maintain extensive list of experiential suppliers
- Daily management of team members & workload
- To work in conjunction with Events & Groups team to ensure diary management and identify need periods.
- Liaise with new and existing clients/suppliers on a regular basis to build business relationships.
- Ensure regular competitor intelligence is shared and brought to monthly meetings.
- Use Apex quoting tools, rate structures, experience viability form, briefing documents and displacement models when creating experiences to ensure profitability
- Oversee contracting and negotiations with suppliers
- Ensure records in systems and contracts are up to date
- Responsible for ensuring clients/supplier bills are accurate with all postings added before checking out the PM in line with department standards.
- Database creation & management
- To ensure payment terms are adhered to as per hotel SOP, with detailed monitoring of any credit terms.
- To take restaurant reservations for both individuals and groups and adhere to SOPs.
- To ensure accurate client data and administration of all bookings in SCS, HMS, OpenTable and any other platform
- Work with hotel Operations team & HODs to ensure required information is effectively communicated & understood in order for a smooth delivery of service.
- To maintain close working relationships with HODs, Deputy GM and General Managers in each hotel.
- To carry out any daily/weekly/monthly duties as instructed by the EGSM
- To comply with all aspects of legislation in particular in relation to Health and Safety, PCI, GDPR and other legislation relevant to your department and role.
Key Skills / Entry Requirement:Communication skills are essential for this role as you will be required to work closely with the Hotel operational teams as well as discussing each event with the client. To ensure the success of every event you will have a passion for delivering excellent customer service and be extremely organised. Absolute attention to detail, the ability to multi task and flexibility are required in response to changing client requests and the fast paced nature of the role.You will be friendly and approachable; you will go the extra mile for our guests; you will provide highly consistent good service and you will lead by example.
