DESCRIPTIONWe are seeking an exceptionally bright and motivated Executive Assistant with a strong history of high performance to support the UK Public Policy team. You will report to the team’s Director and support her, another Director and her teams with smart business planning and execution of various activities, including external facing engagement and events. You will work collaboratively with other Executive Assistants in public policy teams across Europe and globally. This role requires outstanding skills in planning, time-management, and organization, superior attention to detail, an ability to meet tight deadlines and juggle multiple internal and external requests in a calm, friendly and efficient way. You will be trusted to handle confidential and sensitive information, and be able to work professionally with senior business executives, government and public policy stakeholders. Ideally, you will also have experience of working well in a fast-paced, multi-stakeholder corporate or public policy environment. A good sense of humor is critical, as is the ability to continually prioritize and change direction at a moment’s notice. We are looking for someone who can complete complex tasks and projects quickly with little to no guidance, who is strong in anticipating team needs, and who can react with appropriate urgency to unexpected developments or situations.Key job responsibilities
Responsibilities for this position include:
1. Seamless administrative support to the two team Directors, including complex diary management, meeting room booking and travel.
2. Team’s budget tracking, including raising POs, invoice payment and expense processing
3. Event planning, including team off-sites and support with external visits to Amazon’s operations 4. Logistical support for senior executive visits
5. Meticulous document filing
6. Other tasks required to support the team such as on-boarding of new hires, creating presentations, and recording team’s engagementA day in the life

– Experience as an Executive Assistant
– Experience with executive level calendar management
– Experience with domestic or international travel coordination
– Experience handling administrative details independently, while exercising good judgment in keeping team members adequately informed
