About Wizard on Demandis a technical content marketing agency. We work with technology companies to create and promote content such as articles and blog posts to their target audience, for example developers, data engineers, and engineering leaders.The company is distributed with 12 team members, with most of the team located in various locations around the UK. Our clients are based in Europe and the United States.About the Executive Assistant positionWe are looking for an Executive Assistant who will provide support with tasks such as email management, management of tasks in Asana, our project tracking system, CRM updates, and otherwise ensure that company procedures are well-organised and that tasks are done in good time.This is a remote, part-time role, with an expected workload of 10-20 hours per week.We require availability Monday to FridayExecutive Assistant responsibilitiesKeep track of the main company and executive email inboxes, ensure that each relevant email gets a response and, where appropriate, that the relevant task gets created and actionedCreate drafts of email responsesAssist with creation of documents, presentations, and reportsHelp the members of the leadership team arrange their daily schedule, setting up meetings and ensuring they follow their agendaFollow up on meetings and understand status of to-do itemsCommunicate with clients on matters such as meeting schedulingTake on special projects that require organising files and data, inputting data into various online systems, updating spreadsheets
Executive Assistant requirementsNote: we encourage you to apply even if you feel like you don’t meet some of the requirements, but meet all the other requirements particularly well.Based in the UK3+ years’ experience in a similar role, such as executive assistance or operationsExperience with Asana, Google Workspace, SlackExperience creating documents, spreadsheets and presentations that get intense executive scrutinyStrong organisation and time management skillsStrong English spoken and writtenConfidentiality and discretionHiring process for the Executive Assistant roleHere are the steps of the hiring process that you can expect for this role:1. You fill out the application and respond to the very quick multiple-choice questionnaire2. We arrange a phone screen appointment with you – a 15 min phone call with the hiring manager to cover the details of your application3. We ask you to complete a short test assignment4. We arrange a video interview over Google Meet – this is a more detailed 30-45 min interview5. We collect references from you and conduct a reference check6.
