Our well-established client near Queensbury, NY is seeking an experienced Executive Assistant to provide top-tier support to a dynamic Executive Team.This position plays a critical role in ensuring the smooth operation of day-to-day executive functions by handling a wide range of administrative tasks with professionalism, discretion, and minimal supervision. We’re looking for someone with strong communication skills, sound judgment, and the ability to juggle competing priorities effectively.Responsibilities of the Executive Assistant will include:

  • Serve as a first point of contact: greet visitors, manage calls, and respond to inquiries with professionalism and a thorough understanding of office protocols.
  • Coordinate and attend high-level meetings, including Board and committee meetings. Handle all logistics, prepare agendas, materials, and draft detailed minutes.
  • Manage correspondence by researching, drafting, and routing documents and communications on behalf of executives.
  • Maintain complex calendars, coordinate appointments, and proactively resolve scheduling conflicts for the CEO and other executive leaders.
  • Independently evaluate, prioritize, and solve administrative challenges to ensure alignment with departmental goals.
  • Process a variety of business documentation including purchase orders, expense reports, check requisitions, and more—ensuring timely follow- up and accuracy.

Job RequirementsQualifications of the Executive Assistant:

  • Education: Associate’s Degree (required)
  • Minimum of 5 years in an administrative or executive support role
  • Certifications: Notary Public (or ability to obtain within 6 months of hire)
  • Valid NYS Driver’s License
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Exceptional organizational and time-management skills
  • Strong customer service and interpersonal communication abilities
  • High level of confidentiality, integrity, and discretion
  • Capable of working independently while managing multiple priorities
  • Excellent problem-solving and analytical skills
