The Role: Executive Assistant
An Executive Assistant is required to provide high-level administrative and organisational support to multiple Senior Executives within our divisions at PIB Group. This role demands exceptional organisational skills, attention to detail, and the ability to work under pressure in a fast-paced environment. The EA will act as a trusted partner, ensuring seamless operations and effective time management for the executives.
Responsibilities:
- Diary & Schedule Management: Proactively manage multiple executive calendars, scheduling meetings, appointments, and travel arrangements.
- Meeting Coordination: Organise and prepare agendas for executive meetings, ensuring accurate minute-taking and follow-ups on action items.
- Travel Arrangements: Arrange and manage domestic and international travel, including visas, transport, and accommodation.
- Communication & Correspondence: Act as the primary point of contact for executives, handling emails, calls, and correspondence professionally.
- Document Preparation & Management: Draft, review, and distribute reports, presentations, and official documents.
- Confidentiality & Professionalism: Handle sensitive and confidential information with the utmost discretion and integrity.
- Event & Project Coordination: Assist in planning and executing corporate events, executive projects, and strategic initiatives.
- Stakeholder Management: Build and maintain strong relationships with internal and external stakeholders to ensure smooth communication and collaboration.
- Administrative & Operational Support: Manage expenses, process invoices, and handle general administrative tasks efficiently. Adhoc office duties as required.
- Provide cover for C-suite executives during other EA’s annual leave.
Experience:
- Extensive experience as an Executive Assistant, Personal Assistant, or similar role supporting senior leadership.
- Exceptional organisational and time management skills, with the ability to prioritise competing tasks effectively.
- Strong problem-solving skills, adaptability, and ability to work independently.
- Excellent verbal and written communication skills, ensuring professionalism in all interactions.
- High level of discretion and integrity when handling confidential information.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant administrative tools.
- Ability to work in a fast-paced environment and manage multiple priorities seamlessly.
- Experience in the financial services or insurance sector is advantageous but not essential.
