Our goal is to help students learn about and navigate campus resources. As such, we are home to Orientation, Mentorship, Multi-Faith and Spirituality supports, and larger-scale programming.About the roleReporting to the Manager of Student Experience, the Engagement Supervisor provides thoughtful oversight and execution support for multi-faceted programs, including Orientation, Experience and Engagement and the Multi-faith and Spirituality team. The supervisor oversees a team of three professional staff, 10+ faith leaders and is ultimately responsible for 40 Engagement Peers and 150+ Orientation Leaders. This role is responsible for overseeing and providing feedback on the complex day-to-day tasks of the Orientation Coordinator and Student Experience and Engagement Coordinators. Together, this team develops and executes high-impact, vibrant experiences on campus for students that support with developing students’ capability, resourcefulness and affinity to Mount Royal.The Supervisor is responsible for investigating student trends and developing valuable snapshots of the student experience for the larger campus community including faculty and staff. Working with the Manager of Student Experience, this position will develop and implement a robust engagement program rooted in best practice and theoretical understanding of student development.Additionally, they provide administrative and logistical support for all of the Office’s initiatives, including financial management, external facing stewardship and vendor coordination. The high-level, detail-oriented operational support provided by the supervisor is critical to the office’s success in developing and implementing impactful student transition and retention initiatives.ResponsibilitiesSupervision and AdministrationSupports, trains and onboards three full-time professional staff to achieve strategic goals focused on student retention and success.Leads the implementation of all aspects of the student programming within Multi-Faith and Spirituality, Orientation, as well as Student Experience and Engagement to ensure quality and seamless delivery.Implements best-in-class project management techniques to address high-volume, multifaceted interdepartmental demands, navigating competing priorities that include and impact a variety of internal and external service providers such as academic departments, student services, facilities, and external vendors.Responsible for supporting logistics and administration for all areas within the Student Experience department including set-ups, room booking, invoicing and hospitality needs.Supports Coordination as requiredEnsures all vendors and campus partners stakeholders for each event are managed and supported for event execution and safety, following all institutional policies and procedures.Develops and maintains accurate processes, procedures, and timelines for all aspects of the administrative, operational, and programmatic elements of the portfolio. This includes but is not limited to: program proposals, budgeting, material acquisition, vendor liaising, bookings, requests, and assessment.Program DevelopmentResponsible for the overarching strategic development, implementation and evaluation of comprehensive, university-wide programming to enhance student success, engagement and retention, aligned with the institution’s strategic plans.Design and implement a range of assessment tools and methods (Qualtrics, Mentimeter, Jamboards) to gather formative and summative student feedback to evaluate program touchpoints and identify student trends to inform strategic decision-making.Understands and uses leadership theories and student development theories including integration of community-based learning practices to support the management, recruitment and training of over 100 student volunteers, and the delivery of high-impact programming that achieves its objectives.Consults with members of the MRU community in order to provide accessible and inclusive programming and curriculum development that support students’ capability, resourcefulness, spiritual identity, or affinity to Mount Royal.Creates and maintains records of program data and reports (i.e. recruitment, surveys, tracking details) to support with the annual reporting for their portfolio.Collect, analyze and compare relevant data and student assessments to capture the student experience at Mount Royal.Maintains strong, professional relationships with Faculties, departments, institutes, and offices.Develops and assesses program outcomes including operational, programming, and learning outcomes.Supports the creation of detailed reports and metrics to align with strategic outcomes.Implements universal design for learning strategies and differentiated approaches for event planning and communication development for transition events.Communication and Strategic PartnershipsOversees the management and implementation of an innovative sponsorship strategy with external vendors to create meaningful opportunities for engagement to maximize revenue including drafting proposals, developing performance indicators, and cultivating reciprocal relationships while following all relevant institutional policies and procedures.Directs strategic communication plans and broader campaigns that include print, email, creative, media, and digital elements using brand guidelines and best practices.Responsible for all content approval and oversight of development including graphics and written materials for all communication efforts.Navigates relationships with partners, both on campus and external, by demonstrating business acumen and strong partner relations management focused on ROI’s for both parties.
Collaborates with The Foundation, legal and finance to develop sponsorship materials, agreements and invoicing for all financial partnerships.Demonstrates strong stewardship by providing partners with appropriate assessments, metrics and photos after each activation/engagement.Budget ManagementOversees the budget for their portfolio and large-scale events which include robust future planning, all non-labour operational expenses, one-time funding requests, needs-identification, as well as and sponsorship dollars and external funding.Provides regular updates on budget spends and actuals to support with the forecasting for each budget cycle.Develops long-term strategies and financial fundraising/sponsorship goals that are informed by best practices to increase and expand financial partnerships within the Office of Student Experience.Monitors and tracks spending and revenue, including managing invoices, vendor forms, agreements and contracts in relation to MRU’s policies and procedures to ensure proper financial management and tracking.Other duties as assigned.QualificationsThree or four years year bachelor’s degree or equivalent.3-5 years of work experience in the related field.Program development experienceLeadership experience and awareness of team building best practicesDemonstrated ability in event planning and executionCrisis management experienceRequires knowledge of adult learning theory and student development, counseling, coaching and assessment of skills.Ability to work under pressure while maintaining great attention to detail as well as multitasking.
