Job Summary: With collaboration and participation with the Program Director, the Program Coordinator is responsible for the operational and financial management of the accredited/nonaccredited residency/fellowship training program. The position requires a comprehensive and detailed understanding of national accreditation policies and hospital policies, as well as a high degree of initiative and independent judgment. The Program Coordinator will continually assess and direct a wide range of programmatic issues including long range planning, recruiting trainees, developing projects, analyzing administrative workflow, maintaining databases, communicating with faculty and trainees regarding a range of issues, and managing internal and external program relations. Program Coordinator acts as an educational liaison between attending physicians, residents and medical students (if applicable), other specialty departments, outside institutions, GME Office and Medical Staff office and assures program compliance with all regulatory agency standards (Accreditation Council for Graduate Medical Education, ACGME.) Core Responsibilities and Essential Functions: Program/GME Support: – Interprets and applies ACGME, other national accrediting agencies, and hospital policies to support compliance. – Manages, organizes, and develops program activities and events with the Program Director. – Schedules didactic, simulation, and patient-care related teaching time. – Responsible for Clinical Faculty time and attendance. Liaison to Corporate Compliance. – Collaborates and coordinates oversight of faculty and faculty development with GME Leadership. – Develops and oversees the Departmental budget. Resident Support: – Coordinate recruitment efforts for the Residency Training Program to include webpage information architecture, fielding candidate inquiries (July-June), ERAS application system (Sep-Mar), coordinate interview days and schedules (Nov-Jan), NRMP R3 Ranking system (Jan-Mar). – Management of Resident application, selection, and matching program. – Manages resident applicants with ERAS where necessary. – Coordinates visits and interviews with Program Director and Faculty. – Coordinates NIRMP activities. – Directs residents with Hospital Medical Staff applications where necessary. – Investigates and Coordinates with ECFMG on visa or citizenship issues. Data Management: – Develop and maintains database on House Staff and alumni. – Maintain Resident Training Files. – Create reports for distribution to external and internal agencies. – Partners with the Program Director and assists with due process for house staff termination and probation. – Manage compliance issues concerning inter-institutional agreements and regulations; act as department liaison with all necessary divisions and departments. – Coordinate internal/external funding for residency program (IRIS, Cost Report) – Co-produces with the Program Director in the collection and entry of resident metrics into the Residency Data System – Prepares reports of resident data for Program Director, DIO, and ACGME Resident Supervision: – Provides administrative supervision and guidance to residents regarding administrative issues, due dates, and deadlines. – May supervise, train and guide new coordinators or administrative assistants within the residency program. May hire temporary office assistance with approval of the Executive Director. – Arranges resident orientation and training on WellStar data systems (EHR). – Creates schedules for resident rotations. – Creates physician attending schedules when working with residents and interns. – Creates schedules for resident call and duty hours. – Coordinates resident education and evaluation including in-service exams. – Assists residents with scholarly activities. Required Minimum Education: High school diploma Required and Bachelor’s Degree Preferred and In lieu of bachelors, Five years of experience in an administrative role. Required Required Minimum License(s) and Certification(s): All certifications are required upon hire unless otherwise stated.

Additional License(s) and Certification(s): Required Minimum Experience: Minimum 2 years experience in an administrative role Required and Experience in an ACGME accredited Graduate Medical Education program Preferred Required Minimum Skills: Excellent verbal and written communication skills. Knowledge and understanding of Microsoft Word, Excel, PowerPoint, and Outlook. Knowledge of the Electronic Residency Application Service (ERAS), and the National Intern and Residency Matching Program (NIRMP) preferred. Knowledge of resident database New Innovations preferred
