Job Description:Role OverviewAs a Compliance & Onboarding Associate at La Fosse, you will assume a pivotal role in the integration process of new candidates, ensuring that every step of their onboarding experience is not only seamless but also fully compliant with relevant regulations and industry standards. Your responsibilities will encompass the thorough verification of candidate qualifications, which is essential for maintaining the integrity of our hiring process. You will also play an integral part in managing all necessary documentation, ensuring that it is completed accurately and promptly.In addition to these core duties, your expertise will contribute to upholding regulatory compliance, which is paramount for protecting both our candidates and our organization. You will have the opportunity to be involved in identifying areas for process improvements, which will enhance the efficiency and effectiveness of our onboarding practices, while also ensuring the accuracy of data throughout the process.If you thrive in a dynamic and fast-paced environment, possess a keen eye for detail, and find enjoyment in addressing challenges and problem-solving, then this role is tailor-made for you!Key ResponsibilitiesCandidate Onboarding & Compliance

  • Process new candidate onboarding, contract extensions, and early terminations.
  • Conduct background checks and verify candidate qualifications, certifications, and references.
  • Ensure compliance with legal work eligibility requirements and maintain accurate documentation.
  • Ensure all documentation is up to date, accurate, and compliant with internal policies and external regulatory standards.
  • Manage contracts, tax forms, and other essential paperwork, ensuring timely and accurate completion.
  • Proactively monitor and follow up on documentation expiry dates to ensure all records remain compliant and up to date.
  • Oversee document storage and maintain confidentiality of all sensitive data.

Data Management & Process Optimisation

  • Maintain data accuracy across internal systems, such as Bullhorn and Intime.
  • Process and action commission splits on Intime.
  • Conduct periodic checks to ensure compliance with company and industry standards.
  • Identify opportunities for process improvements and support Team Leads in implementing changes and new tools

Requirements:

  • Strong Attention to Detail – Meticulous approach to compliance, documentation, and data management.
  • Excellent Communication Skills – Confident in written and verbal interactions with candidates, contractors, and internal teams.
  • Organisational & Problem-Solving Abilities – Ability to manage multiple processes efficiently and proactively identify issues.
  • Technical Proficiency – Comfortable using Microsoft Office and recruitment systems like Bullhorn and Intime.
  • Team Player – Able to collaborate effectively while also working independently when required.
  • Proactive Compliance Management – Ability to monitor and ensure the ongoing validity of compliance documentation and proactively address discrepancies
  • Desirable but not essential – Compliance Knowledge – Strong understanding of industry-specific compliance standards, regulations, and best practices.
