Position Summary & Responsibilities

Position Summary:

The Administrative Specialist is a key support role within the nursing department, responsible for ensuring smooth operational coordination across staffing, transportation, and external care appointments. This position manages staff schedules, monitors timekeeping, and actively contacts internal and agency partners to fill coverage gaps. This position manages transportation logistics and oversees the tracking and planning for all external medical appointments.

Success in this position requires strong leadership, excellent organizational and problem-solving abilities, and outstanding interpersonal communication skills, both written and verbal, as well as proficiency in computer applications and scheduling systems.

Job Responsibilities may include but are not limited to the following:

  • Provide clerical assistance to the Director of Nursing, including filing, data entry, and report preparation.
  • Maintain confidential records in compliance with HIPAA and regulatory standards.
  • Distribute materials and collect documentation from staff and external providers.
  • Use electronic health record systems to support care coordination and interdepartmental communication.
  • Create and manage nursing staff schedules using electronic scheduling tools.
  • Coordinate time-off requests, emergency staffing, and agency staffing support.
  • Communicate schedule changes to staff and leadership.
  • Prepare and distribute daily nursing assignment worksheets upon approval.
  • Maintain staffing records and forms in accordance with regulatory requirements.
  • Monitor and verify nursing staff timekeeping for accuracy and ensure timely submission of timesheets and resolve discrepancies.
  • Collaborate with HR to ensure labor policy compliance and reporting.
  • Align transportation logistics with resident care plans and oversee tracking and planning for external medical appointments.

Qualifications

Minimum Qualifications:

  • Two (2) years of experience in general office, clerical, and administrative support work. Education may be substituted for experience as determined relevant by the agency.
  • Be free from conviction of a criminal offense that prevents employment with the Kansas Veterans’ Home.

Preferred Qualifications:

  • Associate degree, or higher
  • Two (2) years of administrative experience in a healthcare setting
  • Familiarity with electronic scheduling systems and electronic health records
  • Strong interpersonal communication and customer service skills
  • Excellent written and oral communication skills
  • Ability to multitask and prioritize in a dynamic environment

Post-Offer, Pre-employment Requirements:

  • Must take and pass a drug screening within 24 hours of being offered the position.
  • Obtain a Kansas Tax Clearance Certificate (Request yours here.)
  • Pass a criminal background screening.
