The Student Affairs portfolio includes Office of the Registrar and Enrolment Management; Wellness, Recreation and Athletics; Campus Engagement; and Student Development and Success.As a unit within the Division of Student Affairs, the Centre for Accessible Learning (CAL) is responsible for providing institutional leadership in the delivery of a comprehensive student-focused accessible learning model and delivers training and education to further the University’s commitment to provide equal access to all academic programs. CAL is a core academic support unit for both students and faculty and contributes to the recruitment and retention of students and fosters services and programs that value academic success, inclusion, accessibility, and universally designed environments.Reporting to the Office Manager, the Administrative Assistant is the first point of contact for CAL, providing knowledgeable, student-centered support to the university community. This role balances front-line service with a range of administrative duties, including managing advisor schedules, processing student documentation, maintaining confidential records, and coordinating accommodation requests. This position also supports student engagement through outreach, orientation sessions, and the Full-Serve Notetaking Program. As a key presence at the front desk, this role navigates challenging situations with empathy and effective de-escalation strategies, contributing to a welcoming and inclusive environment.

Job RequirementsExperience:
This position requires a level of education, training, and experience equivalent to three (3) years’ experience working within a comparable environment, preferably in a post-secondary setting.Knowledge/Skills/Abilities:
  • Commitment to valuing diversity and contributing to an inclusive and respectful working and learning environment.
  • Exceptional administrative skills including meeting and calendar coordination.
  • Strong writing and editing skills with experience composing various business communications such as emails, memos, reports and presentations.
  • Proficiency with computer applications (i.e., MS-Office Suite, Adobe Create Suite, content management systems).
  • Strong interpersonal skills with the ability to build and maintain positive working relationships.
  • Ability to navigate sensitive issues in a tactful, diplomatic and trauma-informed way.
  • Cultural awareness and sensitivity when dealing with students.
  • Demonstrated ability to work independently as well as part of a team.
  • Ability to communicate effectively with individuals from diverse backgrounds and tailor communication style for different audiences.
  • Excellent organizational skills including attention to detail and time management.
  • Experience in maintaining confidential and sensitive information.
  • Ability to multi-task and prioritize a large workload with frequent interruptions.
  • Ability to solve problems by using judgement, independent thinking and/or analysis.
  • Ability to interpret policies and procedures.
  • Familiarity with UVic programs, policies, procedures and information systems is considered an asset.

Specialized Knowledge/Education:

  • Secondary school graduation or equivalent.
  • Experience working with people with disabilities is preferred.
