Job description
The Distributed Medical Education (DME) program provides learners with the opportunity to train, live, and work in diverse rural communities across Nova Scotia, New Brunswick, and Prince Edward Island. Reporting to the Manager, DME,will provide confidential and high-level support of the Distributed Medical Education Office.
Key Responsibilities
- Provides effective administrative support for the Assistant Dean, DME, including day to day email management, developing agendas and background material with significant independence; conducting research, analyzing materials, and producing and/or participating in the development of presentations, reports; preparing meeting summaries, and correspondence.
- Strategically managing the Assistant Dean’s schedule, providing a balance between meeting and office/work time, setting priorities in terms of who and when to book into the calendar, and allowing flexibility for the busy agenda of the Assistant Dean.
- Assist the Manager in organizing and coordinating Rural Week, including scheduling, communication with stakeholders, and logistical support to ensure a successful experience for students and preceptors.
- Interact collaboratively with the Distributed Medical Education Advisors, Director, PGME/UGME office staff, senior administrators, legal teams, other campus units, and external organizations to identify issues, solve problems, and support decision-making.
- Provide administrative support for various committees, including agenda preparation, minute-taking, and follow-up on actions.
NoteThe successful applicant will primarily work remotely, with occasional presence in-person on-campus to meet client needs and operation requirements.Periodic in-person attendance at meetings at locations within Nova Scotia is required.
Required Qualifications
- Business/Administrative Professional program with approximately three to five years of related experience (or equivalent combination of training and experience) is required.
- Excellent written and oral communication skills and organization skills.
- Ability to work independently and meet deadlines while handling multiple priorities.
- Experience and skills in minute taking.
- Proficient computer skills (MS Word, Excel, and Access, Adobe Professional).
Assets
- Knowledge of medical education programs and/or experience in University or academic health care environment.
- Knowledge of One45, Brightspace and Sharepoint.
