About the role
An exciting opportunity for a Project Co-ordinator to join Balfour Beatty within the Regional Civils business unit working at the Middle Level Commissioners Site Office in March, Cambridgeshire.
What you’ll be doing
As a Project Co-ordinator within Balfour Beatty, you will:
- Manage team sharepoint, ensuring it is up to date
- Manage all appropriate correspondence.
- Maintain accurate and secure paper based / electronic filing systems as directed
- Maintain full confidentiality of sensitive business issues
- Perform ad hoc confidential project work
- Support gathering of project management internal and external reports
- Organising governance meetings, taking minutes and actions
- Prepare governance packs and / or progress documents as directed
- Undertake a full range of administrative duties to ensure an efficient service is delivered to allocated team
- Produce communications for our clients and other stakeholders
- Ensure a relentless focus on Zero Harm and contribute towards observation and other KPIs
- Support with any induction duties
- Support our Building New Futures and Sustainability road map, taking a lead on community engagement inline with our Social Value Commitments
- Support the work of others during periods of absence or unexpected high volumes of work activity
- Ensure that the project team are notified of all potential opportunities and financial, specification and time risks
- Support in arranging risk review workshops
- Arrange and attend external team meetings/conferences, take minutes where required, and ensure appropriate facilities are organised
- Arrange travel and accommodation arrangements in accordance with Policy for optimum cost saving
- Ensure correct and current templates are used when creating documents
- Undertake multi diary management and plan schedules in diaries to optimise the working time of allocated team
- Arrange governance meetings inline with the reporting calendar
- Prepare and track personal expenses and other ancillary expenditure
- Be fully conversant in O365 to produce a range of spread sheets, documents and presentations as required
- Support other team members to ensure we are following our Digital Delivery
Who we’re looking for
The following qualities/experience are essential:
- Secretarial and/or administrative experience
- Highly organised and able to work on own initiative
- Able to communicate effectively both verbal and written with all levels of the organisation
- Has experience in working as part of a team and has a desire to help the team succeed
- Experience of working on a variety of project types in a similar role
- Proficient on O365 and Project Control Software
- Holds a current driving license
- Knowledge of the construction industry
