  • Manage administrative and documentary aspects of Facilities Soft projects.
  • Maintain accurate records and documentation for all facilities-related activities.

Office Appearance

  • Coordinate Office Appearance services, with site training carried out by the Lead Office Soft FM.
  • Oversee cover management to ensure continuity of Office Appearance services.
  • Manage stock and orders for Office Appearance supplies, organizing teams to monitor site inventories.
  • Handle quotations for out-of-scope requests and implement site projects, maintaining supplier relations.
  • Facilitate training for Office Appearance covers and new employees, including professional development for on-site teams.
  • Complete daily checklists to guarantee service quality and manage ticketing through the SFDC interface.
  • Ensure KPI/SLA standards are met and communicate client expectations to teams, escalating issues as needed.
  • Conduct weekly audits with SFDC and proactively solve problems related to service delivery.
  • Address QHSE issues and assist Technical and Office Appearance Coordinators in creating monthly reports and mandatory documentation.

Cleaning Coordination

  • Oversee janitorial services, ensuring they are safely and efficiently provided.
  • Anticipate resource needs based on meetings and events.
  • Supervise daily cleaning services and execute monthly quality control checks with SFDC.
  • Monitor Tork’s platform for consumption and activity, organizing quarterly report meetings.
  • Ensure compliance with SFDC standards for janitorial products and safety.
  • Maintain open communication with all stakeholders and present monthly customer reporting on service quality and optimization.

Waste Management

  • Manage various waste management service providers, conducting daily on-site visits.
  • Ensure scalable services that align with SFDC growth and escort third-party providers for hazardous waste management.
  • Compile monthly waste reports and ensure health and safety standards are met in waste areas.
  • Coordinate events and sustainability projects related to waste management.

Ticketing System Management

  • Monitor and manage all incoming tickets in the ticketing system, ensuring timely updates and resolutions.
  • Document actions taken and outcomes achieved for each ticket, maintaining clear records.
  • Close tickets only after verifying complete resolution to the satisfaction of the requester.
  • Generate periodic reports from the ticketing system to analyze trends and improve service effectiveness.

Additional Responsibilities

  • Establish and maintain strong relationships with third-party service providers to enhance service quality.
  • Act as the primary point of contact for client inquiries related to facilities services.
  • Assist in planning and executing company projects, ensuring facilities-related needs are met.
  • Support crisis management efforts and ensure staff are trained on emergency procedures.
  • Ensure all activities comply with company policies and local regulations.

Work Environment Considerations

  • This position may occasionally require flexibility in working hours to address project demands or service needs.
  • Flexibility in adapting to changing priorities and responsibilities is essential.

Requirements

  • Minimum 1 year of experience in facilities management or hospitality
  • Fluency in French and English
  • Understanding of QHSE standards Experience in waste management practices
  • Strong communication and interpersonal skills

  • Organizational and time management skills
