At our pilot plant facility near Chester, we are looking for a Office Administration Coordinator with strong organizational skills, attention to detail and ability to collaborate effectively with cross-functional teams with a proactive midnset. The incumbent will be responsible to provide comprehensive administrative support to our UK Development Manager & the development team.

Core Responsibilities:

Reception & Customer Experience:

  • Manage reception duties, attend to visitors, and provide support to the Health & Safety responsible person on site with administrative tasks.
  • Coordinate customer and other on-site visits and catering arrangements; including organising presentation and meeting room spaces.

Administrative Support:

  • Assist the Development Manager with day-to-day administrative tasks, including scheduling meetings, managing correspondence, and handling inquiries.
  • Support Quality Management Department with organisation and administration support for weekly production sample testing, holiday cover and other support as needed.
  • Provide administrative support to other departments such as customer service and purchasing, as needed.
  • Holiday and customer visit planning for development team, maintaining an overview for visibility.
  • Collaborate with counterparts in Germany to administer, coordinate, and support SAP development software activities, ensuring seamless integration and efficient operation.
  • Enter data and assist in evaluating trials conducted by the development team, maintaining accuracy and integrity of information.
  • Administer, process, and update various lists and overviews essential for development operations.
  • Extract key performance indicators (KPIs) relevant to development management for reporting and analysis purposes.
  • Create and optimise documents and processes to enhance efficiency within the technical centre.
  • Coordinate exchanges with the German counterpart to improve administrative processes and foster collaboration.

Coordination, Travel & Event Planning:

  • Organize hotel bookings, taxi services, and travel planning for the team as required.
  • Support internal event planning and organization.
  • Support the organization and planning of internal events, including logistics, catering arrangements, and coordination of activities.
  • Coordinate and facilitate customer visits at our premises, ensuring a smooth and welcoming experience.

Office Organisation & Purchasing:

  • Support Health & Safety responsible person with administrative tasks.
  • Organise and administer office materials and ensure availability.
  • Manage purchasing processes for technical orders and other office items.
  • Coordinate national and international courier services for sample shipments and other goods.
  • Support and arrange company internal events and organize celebration cards and vouchers for employee anniversaries.
  • General tidying and organisation of the office environment.
  • Technical purchasing – following purchasing processes for any technical orders/ requests from the Development team.
  • Working with finance and purchasing to raise Purchase Orders and Goods Receipting completed orders in a timely manner.

Qualified candidates will have:

  • Proven experience in administrative support / office management roles
  • Strong MS Office and databases knowledge
  • Strong organizational and time management skills with the ability to multitask and prioritize effectively.

Desireable requirements:

  • Prior work experience within a technical or development environment would be preferred.
  • Knowledge of health and safety regulations and procedures would be a plus.

  • Ability to work independently as well as part of a team, demonstrating flexibility and adaptability, with a structured way of working.
  • Excellent communication and interpersonal abilities.
  • Attention to detail and accuracy in data entry and documentation.
