Sr. Administrative Assistant & Workplace Experience for EMEA 

PagerDuty is seeking a highly motivated and dedicated Executive Assistant & Workplace travel planning, event coordination, and office management. The role is demanding, but the team is collaborative and believes strongly in building a partnership.

Due to the nature of the work this role is defined as an in-office position at our London Moorgate office (5 days per week) with the occasional travel to other PagerDuty offices may be required.

How You Impact Our Vision; Key Responsibilities:

Executive Support 

  • Act as a trusted point of contact among EMEA Executives, Employees, Customers and Business Partners.
  • Manage EMEA Executive Directors’ daily agenda and plan ahead for an accurate meeting schedule.
  • Obtain travel approvals, and make travel and accommodation arrangements in a timely and accurate manner.
  • Arrange workshops, flights, hotels, visas.
  • Control expenses by ensuring claims are submitted for authorization and the accounts are monitored and credited.
  • Support on Business reviews and customer presentations by gathering information and managing timelines.
  • Provide white-glove administrative support to all levels of the organization.

Workplace Support

  • Manages the ongoing new hire office onboarding experience and offboarding processes, including local vendor management of WeWork and Envoy accounts.
  • Welcomes current employees traveling to the office, facilitating access and ensuring a positive guest experience.
  • Maintain the relationship with our landlord (WeWork) and oversee day-to-day office operations and maintenance: addresses issues with temperature, repairs, cleaning etc., to ensure a clean, safe and aesthetically pleasing office environment. 
  • Chair the local Health and Safety committee, ensuring alignment with global health and safety protocols.
  • Oversee office food and beverage programs, snacks, and the procurement of office supplies, furniture, fixtures and equipment. Manages the purchasing and expense reporting for the corporate credit card.
  • Organise or assist with the execution of company-wide events and social impact initiatives in alignment with the global departments (Culture and Strategy, Marketing, Social Impact etc.), for example:
  • Monthly Company Town Halls
  • Company and Sales Kick-offs, PagerCon (an internal engineering conference) 
  • Global ERG, ESG, and Wellness initiatives
  • Organise or assist with the execution of local events and social impact initiatives for the entire London office, for example:
  • Volunteer Activities (alignment and support from global social impact program and methodology)
  • Social Events for the entire office as directed/approved by VP EMEA Sales (happy hours, fun/culture activities)
  • CEO and ELT visits

Minimum Requirements:

  • 5 + Assistant experience
  • Full comprehension of office management systems and procedures

Preferred Qualifications:

  • Continuous learner, quick to grasp new concepts, tactful and discreet with confidential information.
  • Self-starter capable of independently managing and completing projects successfully
  • Workplace experience experience
